Remove the background from a signature
Sign on plain white paper with a dark pen, photograph or scan it in even light, remove the paper, and save a transparent PNG. PNG keeps transparency; JPG doesn't, which is why a JPG signature sits in a white box over lines and text. Word, Google Docs and Acrobat all accept PNG. A pasted signature image is not a verified e-signature: it shows a mark, not who placed it.

At a glance
| Format to save | Transparent PNG. JPG has no alpha channel, so it always keeps a background. |
|---|---|
| Word for Windows | Save the scan as .bmp, .jpg or .png, then Insert > Pictures |
| Word for Mac | Accepts .bmp, .gif, .jpg or .png via Insert > Pictures > Picture from File |
| Word for the web | No signature command: crop the image first, then Insert > Picture |
| Adobe Acrobat signature image | JPG, PNG, GIF, TIFF or BMP, imported in Fill & Sign |
| Verified signature | A digital signature needs a signing certificate that proves identity; an image does not |
How to do it
- Sign and capture it cleanlySign several times on clean white paper with a black or dark blue felt-tip or gel pen, larger than you normally would. Photograph the best one in daylight with no shadow from your phone or hand, holding the camera flat above the page, or scan it. Fill most of the frame with the signature.
- Remove the paper and crop tightRemove the background so only the ink is left, then check the thin tails and dots of letters, which are the first parts to break up. Crop close to the ink. A tight crop means the image box in Word or Docs matches the signature and is easy to place on the line.
- Save as PNG and insert itDownload a transparent PNG. In Word: Insert > Pictures, then right-click > Save as Picture to keep a reusable copy. In Google Docs: Insert > Image > Upload from computer, then set the image to In front of text so it can sit on a signature line. In Acrobat: Fill & Sign > Sign > Add signature > Image.
Tips and common mistakes
- Contrast beats resolutionA faint grey ballpoint line on off-white paper cuts out poorly. Dark ink on bright white paper gives the cleanest edge, even from a phone photo.
- Watch for the white boxIf a white rectangle covers the line or text under your signature, you inserted a JPG or a PNG with the background still in it. Replace it with the transparent PNG.
- Keep a reusable copyIn Word, save the picture plus your typed name, title and contact details as an AutoText entry (Insert > Quick Parts) so you can add the whole block in one step.
- Treat the file like a keyAnyone who has the PNG can paste it into any document. Don't email it around or leave it in shared folders, and don't post documents where it can be copied at full size.
- Use a real e-signature when it mattersFor contracts, HR forms and anything the other side may need to prove later, use a certificate-based digital signature or an e-signature service with an audit trail, such as Acrobat Sign or eSignature in Google Docs.
Questions
Is a pasted signature image legally binding?
This page isn't legal advice. An image shows a mark but doesn't prove who placed it or that the document wasn't changed after. When that proof matters, use a digital signature, which relies on a certificate that confirms the signer and shows the content hasn't been altered.
Why does my signature have a white box around it in Word?
The image still has its background, usually because it's a JPG. JPG can't store transparency. Remove the background and insert a PNG instead.
Is a phone photo good enough, or do I need a scanner?
A phone photo is fine in daylight with no shadows and the camera held flat. A scanner gives more even light, which helps with thin or light strokes.
How do I add my signature in Word for the web?
Word for the web has no signature command. Crop the image first, then use Insert > Picture. The desktop app can also save it as AutoText for reuse.
Is it safe to upload my signature?
removebackground.dev deletes uploaded images after 48 hours. Keep your own copy of the PNG somewhere private, and only share signed documents, not the signature file.
